Job Location: Norfolk VA Work Schedule: ~7:00am-5:00pm, Monday-Friday, approx. 20 hours per week Travel Required: No Salary: Commensurate with experience Contact Person: LeShan Witherspoon (lwitherspoon@remsainc.com) Date Available: August 1st, 2008 REMSA Inc. is seeking an experienced, skilled, highly motivated, and results oriented Purchasing Assistant with a proven track record to fill a position located in the Norfolk, VA area. The incumbent must be familiar with the procurement process and general office duties. The client is in charge of purchasing and contract distribution, therefore, you will be required to assist in activities such as solicitation of proposals, contract negotiation, awarding of contracts, administration of funds, and the closeout of contracts. JOB DESCRIPTION: The incumbent will be part of a team of personnel that provides administrative support services in an effort to ensure the fluid operation and efficient completion of the office’s mission to provide exceptional customer service to its clients. You will have a key role in maintaining the office’s efficiency by performing tasks such as document review and processing, distribution of materials, filing, and database management. The incumbent will also provide assistance in the procurement and contracts process. Duties include, but are not limited to the following: • Perform contract administration functions, including the review and processing of invoices and contract closeouts • Maintain contract and invoice data files, including entry of data into an automated system, and generation of ad hoc reports • Assist in analysis of Request for Services to ensure compliance with company policies and procedures • Review incoming purchasing requests and process necessary documentation for management review & approval • Conduct periodic audits of contract files to ensure proper documentation and information is maintained • Complete clerical tasks as assigned in support of office’s overall function • Provide a high level of customer service REQUIREMENTS: Must be a U.S. Citizen and be able to pass a Background Investigation in order to obtain security clearance Education: High School Diploma, or equivalent required. Skills: A background in purchasing and/or contracts administration is required. 2-3 years experience is preferred. • The ability to work effectively in a fast paced environment dealing with a large volume of customers • Knowledge of the procurement process • Previous experience processing invoicing and administering contracts • Proficient computer skills, especially MS Office applications including Excel, Word, Powerpoint, and Outlook, and Adobe Acrobat • Excellent data entry skills • Proficient in the English Language, both spoken and written • Excellent customer service skills • Excellent interpersonal communication skills, both written and oral • Excellent time management & multi-tasking abilities • Professional appearance and demeanor BENEFITS: This is a part time position with salary based on qualifications and experience.
